Privacy Policy

1. About this policy
EHRC World is a learning platform operated by Electricity Human Resources Canada (“EHRC”, “we”, “us”). This policy explains what personal information we collect from learners, why we collect it, who we share it with, and how you can exercise your rights. We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.
2. Information we collect
- Identity & account: name, work email, employer/company and role, password, preferred language, time zone.
- Game profile: player name, avatar and character customization.
- Learning progress: courses taken, challenges completed, experience points, badges, grades and assessment results.
- Free-text reflections: the written responses you enter in reflection challenges.
- Technical data: device push token, IP address, user agent, device model, app/OS version, and session metadata.
- Behavioural data: activity timing and usage durations used to measure progress.
3. Why we collect it
- Deliver training and track your progress.
- Provide training-compliance reporting to your employer.
- Provide AI feedback on your reflections (optional — see section 6).
- Send reminders and notifications.
- Security, fraud prevention, and audit logging.
4. Disclosure to your employer
EHRC World is an employer-sponsored platform. Your identifiable progress, grades and assessment results are visible to your company’s administrators and may be used for training-compliance purposes.
5. Service providers & cross-border processing
Your data is primarily hosted in Canada (DigitalOcean, Canadian region). We use the service providers below. Some process data in the United States, where it may be subject to lawful access by foreign authorities. We remain accountable for this information.

6. Consent
By creating an account you consent to the collection and use described here. AI feedback is optional: your reflections are only sent to OpenAI (United States) if you expressly opt in, and you can withdraw that consent at any time in the app. You may withdraw consent subject to legal and contractual requirements.
7. Retention & deletion
We keep personal information only as long as needed for the purposes described. When you request account deletion, your account is scheduled for anonymization after a 30-day grace period (you can cancel by signing back in). After that, your identifying details are irreversibly anonymized.
8. How we protect it
We apply technical and organizational safeguards: encryption in transit (HTTPS), role-based access controls, login rate-limiting, audit logging, and strong password requirements.
9. Your rights
You can access and export your data, correct inaccurate information, withdraw consent, and request deletion of your account — directly in the app (Profile) or by contacting us.

We may update this policy. We will notify you of material changes and may ask for renewed consent.
